About the Role
IMAX is looking for a coordinator to join our growing Theatre Development Technology, Theatre Design Department. You’ll manage the flow of information in and out of the department and be responsible for providing the design team and project development team with the tools and documentation they need to complete their responsibilities in the most comprehensive and efficient way. You’ll play a key role in ensuring all IMAX Theatre projects are properly documented and completed to IMAX’s high standards of performance in the most economical way possible.
What You’ll Do:
Process invoices for all our Installation Contractors, Screen Frame Contractors and others using Concur Solutions software
Prepare purchase orders and coding invoices for payment in a timely manner
Maintain contractor invoice summaries for analysis
Create project folders for all new SAP customer numbers using a set naming convention
Maintain Installation FTP site, uploading and downloading project files
Create, review, and approve employee timesheets in SAP
Review project coding and approve timesheets for the department
Work with the Finance team to ensure all theatre project nodes are available
Update appropriate fields in Smartsheet to ensure the installation schedule is kept up to date
Ensure Department contact details (including all active Contractors) are up to date and stored on the team drive
Order IMAX branded merchandise for contractors
Arrange meetings via outlook and book boardrooms
Order Office Supplies and Energy supplies
Request Visa / Introductory letters for International Travel at the request of our Contractors
Book and track “Working at Heights” Training programs, ensuring team has valid certificates including all external contractors
Ensure we have up to date Contractor Insurance certificates.
What You’ll Need:
Proficient computer skills (MS office, Windows OS)
Nice to Have:
Specialized training in Project Coordination a plus
Proficient with SAP, SharePoint, and Smartsheet or similar software
Excellent customer service skills
