Job Purpose

Executive support to the Chief Operating Officer and Chief Commercial Officer.

Main Tasks & Responsibilities

  • Diary management for COO and CCO.
  • Coordination of travel arrangements.
  • Administration of expenses for COO & CCO.
  • Preparing the Who’s Who and organisation charts.
  • Preparation of management and board presentations.
  • Organise and prepare for meetings, including gathering and creation of documents.
  • Ordering stationery, kitchen/office items and gifts as required.
  • The point of contact among executives, employees, clients and other external partners.
  • Management of specific project tasks as required.
  • Maintaining confidential and sensitive information.
  • Assisting with coordination of office management alongside UK Facilities team.
  • Assisting with office moves and set-up alongside UK Facilities team.
  • Organisation of team and social events.
  • General administration and other duties as required.

Knowledge & Skills

  • Several years’ experience as an Executive Assistant to C-level Executives.
  • Previous experience working within an international company.
  • Exceptionally well organised.
  • Excellent verbal and written communication skills.
  • Good multi-tasker and forward thinker.
  • Attention to detail.
  • Ability to work with speed, accuracy, and confidentiality.
  • Friendly and approachable manor with a can-do attitude.
  • Excellent knowledge of Outlook, and all Microsoft Programs.

Reporting to: Chief Commercial Officer

Contract Type: Full time, 6 months fixed term contract

Location: Shepherd's Bush, London, UK

Hours: 9:30am – 6pm
