Job Title: Team Coordinator, COVID Support (5mth FTC)
Reports to: Director of Commissioning Operations
Department: Commissioning Operations 
Location: London, Bristol, Glasgow or Leeds

Department Description

The Commissioning department is responsible for selecting and helping shape all the content we distribute on our linear channels and across our digital platforms. We do this through a mixture of commissioning and acquiring shows and films, as well as news and sports coverage

This role will be working closely with our Hostile Filming Consultants, who are responsible for developing, updating, and implementing the Covid Protocols across all of our productions to ensure the safety of our programme talent, contributors, and production teams.

JOB PURPOSE
  • To provide the highest level of administrative and diary support to our Covid Executives and Hostile Filming Consultants 
  • To provide project support for a number of key initiatives for the team, including;
    • Monitoring requests for and delivery of all Hostile Filming and Covid-19 filming protocols
    • Liaising with and coordinating between producers, and Channel 4 Legal and Compliance, production finance and Commissioning on the progress and schedule for productions and their protocols
    • Maintaining a database of all Hostile Filming and Covid-19 filming protocols; compiling a weekly report detailing Covid-19 impact across all genres and updating senior Channel 4 management with an overview
    • Proactively identifying areas of concern to address with the support of the wider team
KEY RESPONSIBILITIES
  • To provide administrative support via management of multiple diaries, meeting minutes, travel arrangements, and managing and filing expenses.
  • Provide project support for the Covid Protocols work across the department, including liaising with multiple teams and managing trackers and databases
  • Ensure visitors to the team are handled appropriately
  • Provide cross-functional support to other teams in Commissioning as and when necessary

ESSENTIAL EXPERIENCE AND SKILLS

Technical & Professional Skills
  • Diary Management – must have proven experience in managing multiple diaries 
  • Project Management – must have previous experience in project support, and coordinating multiple projects at one time
  • Proven ability to cope in a very busy environment and to perform in high-pressured situations, and able prioritise and cope with several tasks at once
  • To have and use initiative, as well as a willingness to do whatever task is required
  • Effective forward planner and key communicator, to ensure any issues are highlighted in advance and affected teams are informed
  • Excellent interpersonal skills
  • Proven ability to be part of a team, work well with others in an open-plan department and deal politely with visitors from other companies
  • Possess a keen attitude and a willingness to learn
  • Flexibility, patience, perseverance and commitment to get the job done
  • Proven ability to work with confidential materials and issues
  • Always display a helpful attitude whilst managing diaries carefully and sensitively
  • Able to assist with the creation of PDF documents 
Autonomy/Judgement/Decision Making
  • The Team Coordinator is expected to manage their own workload by prioritizing accordingly and reporting back on completion.
  • Happy to work autonomously, as the team are based in different locations and so this role will largely involve remote working

  • Builds valued and trusted relationship within Commissioning, senior members of the Commissioning team, and stakeholders from across the business in order to handle confidential matters appropriately and effectively
  • Maintain relationships with peers across all departments
