About the Role
Timeline TV is looking to recruit a Scheduling Coordinator to work across a portfolio of projects. This is a client facing administrative role and you will be booking staff and coordinating resources through the Xytech MediaPulse scheduling system.
Main Duties
- Responsible for the rota’s of current Timeline Television staff ensuring they are scheduled where and when required for operational needs, also taking into consideration that they require a good work/life balance
- You will also be responsible for booking freelancers/contractors in a variety of technical support roles using the Xytech MediaPulse scheduling system
- You will be proactive in resolving issues, and in escalating problems to the Timeline management team
- You will arrange staff training days if applicable, shift shadowing and quality control procedures for new freelance staff
- Contact and book freelancers in line with finance tax and employment status guidelines i.e., IR35 and LP10 letters
- Expand our freelancer lists and assist with the induction of new contractors
- Ensure that all personal data is managed to the requirements of the General Data Protection Regulations (GDPR)
- Provide general administrative support and financial oversight as required
Knowledge, Skills and Experience
- Our preference is for someone with experience in a similar role within a Live Broadcast; Outside Broadcast; Post-Production; Studio Production or Channel Management environment
- It is essential that you are able to prioritise tasks and meet deadlines
- You must have strong organisational skills and excellent attention to detail
- It is critical that you have excellent communication skills (telephone, email, and face to face)
- Should be comfortable with financial administration
- Should have a proactive and enthusiastic approach to work
- Previous experience of booking freelancers is essential
- Previous experience of Xytech MediaPulse, or a similar resource scheduling system (e.g. ScheduALL, Provys or Farmers Wife) is highly desirable
- Experience of using Excel in a working environment is crucial
- Demonstrate tact and sensitivity when dealing with other cultures
- Able to react tactfully and sympathetically to requests from staff and clients.
- Able to answer occasional phone calls outside of standard office hours if required
- Able to remain calm under pressure
